Hire People.ai is a trading name of FFR Limited (Flat Fee Recruiter Limited), registered in England and Wales.

Please read these Terms of Service carefully before using the Hire People.ai platform. By accessing or using our service, you agree to be bound by these Terms. If you do not agree with any part of these Terms, you must not use our service.

1. Agreement to These Terms

These Terms of Service ("Terms") constitute a legally binding agreement between you ("Client", "you" or "your") and FFR Limited trading as Hire People.ai ("Hire People.ai", "we", "us" or "our") governing your access to and use of the Hire People.ai platform and services (the "Service").

By registering for an account, clicking to accept these Terms, or otherwise using the Service, you confirm that you have read, understood and agree to be bound by these Terms, together with our Privacy Policy, which is incorporated herein by reference.

If you are entering into these Terms on behalf of a company or other legal entity, you represent and warrant that you have the authority to bind that entity to these Terms, in which case the terms "you" and "your" shall refer to that entity.

Hire People.ai is a trading name of FFR Limited (also registered and known as Flat Fee Recruiter Limited), a company registered in England and Wales.

FFR Limited is regulated under the General Data Protection Regulation (GDPR) by the Information Commissioner's Office (ICO). Our ICO registration number is ZA270962.


3. Description of Services

Hire People.ai provides an AI-powered online recruitment platform that enables clients to:

  • Automatically generate job descriptions using artificial intelligence.
  • Distribute job postings to multiple job boards and channels simultaneously.
  • Receive, manage and screen candidate applications using AI-assisted tools.
  • Communicate with and manage candidates throughout the hiring process.
  • Access analytics and reporting on hiring campaigns.

We reserve the right to modify, suspend or discontinue any aspect of the Service at any time, with reasonable notice where practicable. We will not be liable to you or to any third party for any modification, suspension or discontinuation of the Service.


4. Account Registration

To access the Service, you must register for an account. You agree to provide accurate, current and complete information during the registration process and to update such information to keep it accurate, current and complete.

You are responsible for maintaining the confidentiality of your account credentials, including your password, and for all activity that occurs under your account. You agree to notify us immediately at [email protected] of any unauthorised use of your account or any other breach of security.

We reserve the right to refuse registration to, or cancel accounts of, persons or entities at our sole discretion, including but not limited to where we believe that use of the Service will violate these Terms or applicable law.


5. Free Trial

We may offer a free trial period of up to 14 days ("Free Trial") at our sole discretion. The Free Trial begins on the date you create your account and activate the trial.

During the Free Trial you will have access to the features and functionality of the Service as described at the time of registration. We reserve the right to modify the features available during the Free Trial at any time.

No credit card is required to begin a Free Trial. At the end of the Free Trial, your account will automatically convert to a paid subscription unless you cancel before the trial ends. If you choose not to continue, your account and any data associated with it may be deleted after a reasonable retention period.

We reserve the right to limit the number of Free Trials per person, company or email domain.


6. Subscriptions and Payment

6.1 Subscription Plans

The Service is provided on a subscription basis. Details of available subscription plans, including features and pricing, are set out on our website or communicated to you directly by our team.

6.2 Billing

Subscription fees are billed in advance on a monthly or annual basis, as selected by you at the time of purchase. All fees are stated in pounds sterling (GBP) and are exclusive of VAT unless otherwise stated. VAT will be charged at the applicable rate.

6.3 Payment

Payment must be made by a valid credit or debit card or by another payment method we accept. By providing payment details, you authorise us to charge the applicable subscription fee to your chosen payment method.

6.4 Price Changes

We reserve the right to change our subscription fees at any time. We will provide you with at least 30 days' written notice of any price change. Your continued use of the Service after the new pricing takes effect constitutes your acceptance of the new fees.

6.5 Refunds

Subscription fees are non-refundable except as required by applicable law or as expressly set out in a written agreement between you and us. We do not provide refunds or credits for partial months of service or for periods where you have not used the Service.

6.6 Late Payment

If any fees remain unpaid, we reserve the right to suspend or terminate your access to the Service. Interest may be charged on overdue amounts at the statutory rate under the Late Payment of Commercial Debts (Interest) Act 1998.


7. Acceptable Use

You agree that you will not use the Service to:

  • Post vacancies or content that is unlawful, discriminatory, misleading, defamatory, obscene or otherwise objectionable.
  • Violate any applicable employment, equality, data protection or advertising law.
  • Attempt to gain unauthorised access to any part of the Service or any related systems or networks.
  • Introduce any virus, malware, spyware or other harmful code into the Service.
  • Use automated scraping, crawling or data-mining tools against the Service without our prior written consent.
  • Resell, sub-licence, lease or otherwise exploit the Service for commercial purposes beyond your own internal business use without our prior written consent.
  • Impersonate any person or entity, or falsely state or misrepresent your affiliation with a person or entity.
  • Collect or harvest personal data from other users of the Service without their express consent.

We reserve the right to investigate and take appropriate action against anyone who, in our sole discretion, violates this Acceptable Use Policy, including suspending or terminating accounts and reporting users to law enforcement authorities.


8. Intellectual Property

8.1 Our IP

The Service, including all software, algorithms, AI models, designs, text, graphics, logos and other content ("Our IP"), is owned by or licensed to FFR Limited. All rights not expressly granted to you under these Terms are reserved. You may not copy, reproduce, distribute, modify or create derivative works of any part of Our IP without our prior written consent.

8.2 Your Content

You retain ownership of all content you submit to the Service, including job descriptions, company information and candidate communications ("Your Content"). By submitting Your Content to the Service, you grant us a non-exclusive, worldwide, royalty-free licence to use, store, reproduce and display Your Content solely to the extent necessary to provide the Service to you.

8.3 Feedback

If you provide us with any feedback, suggestions or ideas regarding the Service ("Feedback"), you grant us a perpetual, irrevocable, royalty-free right to use such Feedback in any manner without restriction or obligation to you.


9. Data Protection

Both parties agree to comply with all applicable data protection legislation, including the UK GDPR and the Data Protection Act 2018.

You are the Data Controller for candidate personal data processed through the Service. We act as your Data Processor in relation to such data. The terms on which we process candidate data on your behalf are governed by our Data Processing Agreement, which forms part of your subscription agreement with us.

You warrant that you have all necessary lawful bases and consents to collect, process and transfer candidate personal data to us for the purposes of the Service.

10. Confidentiality

Each party agrees to keep confidential all non-public information disclosed by the other party in connection with the Service ("Confidential Information") and not to disclose such information to any third party without the other party's prior written consent, except as required by law or as necessary to perform obligations under these Terms.

This obligation of confidentiality does not apply to information that: (a) is or becomes publicly available through no fault of the receiving party; (b) was rightfully known to the receiving party prior to disclosure; or (c) is independently developed by the receiving party without reference to the Confidential Information.


11. Third-Party Services

The Service integrates with and distributes job postings to third-party job boards and platforms ("Third-Party Services"). We do not endorse and are not responsible for the content, policies, terms or practices of any Third-Party Services.

Your use of Third-Party Services is subject to their respective terms and conditions and privacy policies. We encourage you to review those policies before using such services.

The availability of specific Third-Party Service integrations may change from time to time. We do not guarantee the availability of any particular integration and shall not be liable for any failure of a Third-Party Service.


12. Service Availability

We aim to provide the Service with high availability, but we do not guarantee that the Service will be uninterrupted, error-free or available at all times. The Service may be temporarily unavailable due to maintenance, upgrades, or factors outside our reasonable control.

We will endeavour to provide advance notice of planned maintenance periods where reasonably practicable.


13. Disclaimers

The Service is provided "as is" and "as available" without warranties of any kind, whether express, implied, statutory or otherwise. To the fullest extent permitted by applicable law, we disclaim all warranties, including implied warranties of merchantability, fitness for a particular purpose and non-infringement.

We do not warrant that: (a) the Service will meet your specific requirements; (b) the Service will be uninterrupted, timely, secure or error-free; (c) AI-generated content (including job descriptions) will be accurate, complete or suitable for your purposes; or (d) any errors in the Service will be corrected.

You acknowledge that AI-generated content produced by the Service should be reviewed and edited by a qualified person before publication. We accept no responsibility for any direct or indirect losses arising from reliance on AI-generated content without appropriate human review.


14. Limitation of Liability

To the maximum extent permitted by applicable law, in no event shall FFR Limited, its directors, employees, agents or affiliates be liable to you or any third party for any:

  • Loss of profits, revenue or anticipated savings.
  • Loss of business or contracts.
  • Loss of goodwill or reputation.
  • Loss or corruption of data.
  • Any indirect, incidental, consequential, special or exemplary loss or damage.

arising out of or in connection with these Terms or the use of, or inability to use, the Service, whether or not we have been advised of the possibility of such damages.

Our total aggregate liability to you in connection with these Terms, whether in contract, tort (including negligence), breach of statutory duty or otherwise, shall not exceed the total amount paid by you to us in the 12-month period immediately preceding the event giving rise to the claim.

Nothing in these Terms shall limit or exclude our liability for: (a) death or personal injury caused by our negligence; (b) fraud or fraudulent misrepresentation; or (c) any other liability that cannot be excluded or limited under applicable law.


15. Indemnification

You agree to indemnify, defend and hold harmless FFR Limited and its directors, officers, employees and agents from and against any claims, liabilities, damages, judgments, awards, losses, costs, expenses or fees (including reasonable legal fees) arising out of or relating to: (a) your use of the Service in violation of these Terms; (b) Your Content; (c) your violation of any applicable law; or (d) any claim that Your Content infringes the intellectual property rights of a third party.


16. Termination

16.1 Termination by You

You may cancel your subscription at any time by contacting us at [email protected] or through your account settings. Cancellation will take effect at the end of your current billing period. You will not receive a refund for any unused portion of a paid subscription period.

16.2 Termination by Us

We may suspend or terminate your access to the Service immediately and without prior notice if: (a) you breach any material provision of these Terms; (b) we are required to do so by law; or (c) we decide to discontinue the Service.

16.3 Effect of Termination

Upon termination, your right to access and use the Service will immediately cease. We will retain your data for a reasonable period following termination in accordance with our Privacy Policy, after which it will be deleted. You may request an export of your data before or shortly after termination by contacting us.

Provisions of these Terms that by their nature should survive termination shall survive, including Sections 8, 9, 10, 13, 14, 15 and 18.


17. Changes to These Terms

We reserve the right to modify these Terms at any time. We will notify you of material changes by posting the updated Terms on our website and by sending a notification to the email address associated with your account at least 30 days before the changes take effect.

Your continued use of the Service after the updated Terms take effect constitutes your acceptance of the revised Terms. If you do not agree to the updated Terms, you must stop using the Service and cancel your subscription before the effective date of the changes.


18. Governing Law and Jurisdiction

These Terms and any dispute or claim arising out of or in connection with them (including non-contractual disputes or claims) shall be governed by and construed in accordance with the laws of England and Wales.

Each party irrevocably agrees that the courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim arising out of or in connection with these Terms or their subject matter or formation.
